How to let members book appointments in Discord
Let members book a time slot with your team right in Discord: pick a person and a free slot, get a calendar file and a reminder. Setup in about five minutes.
Coaching calls, 1:1 support, onboarding sessions, tutoring, staff interviews — a lot of Discord communities run on appointments. Most of them still organise those in DMs: “When are you free?”, “Does Thursday work?”, “Sorry, missed your message.” This guide shows how to let members book a time slot with your team directly in Discord, without an external calendar tool.
Why book appointments inside Discord?
Your members are already in Discord. Sending them to an external booking page means another account, another tab and another place where messages get lost. When the booking happens in the server, the member never leaves, your team sees everything in one place, and reminders arrive as Discord DMs — where people actually read them.
How it works for the member
- They click 📅 Book on a booking panel in your server.
- They pick the team member they want to talk to.
- They pick a time. Only slots that are really free are shown — already booked or requested times are filtered out.
- They can add a short note about what it’s about (optional).
- They get a confirmation in Discord and a DM with an .ics calendar file, so the appointment lands in their own calendar with one click.
Before the appointment, both sides get a reminder DM — the member and the team member.
Setting it up (about five minutes)
1. Set each team member’s availability
In the dashboard you set weekly time ranges per team member — for example Monday to Thursday, 10:00–12:00 and 14:00–17:00. Times follow your server’s timezone, so a member in another country still books the right moment.
2. Create a booking panel
Choose the channel, a title and description, and which team members can be booked on this panel. Then set three numbers: the slot length (e.g. 30 minutes), how far ahead members may book (e.g. 14 days) and how long before the appointment the reminder goes out (e.g. 60 minutes). You can run several panels — one for support calls, one for coaching, one for applications.
3. Decide: auto-confirm or approval
By default a booking is confirmed instantly. Turn on approval and it becomes a request instead: the team member gets a DM with Approve and Decline buttons, and the member is told the outcome either way. Useful when you want to check who is booking before you commit your time.
What about double bookings and no-shows?
Two members clicking the same slot at the same moment can’t both get it: the second booking is rejected and they’re asked to pick another time. For no-shows, the best tool is the reminder — a DM shortly before the appointment noticeably cuts the number of people who simply forget. If something comes up, you can cancel an appointment from the dashboard.

Can a Discord bot handle appointment booking?

Do members need an account somewhere else?
No. They book with their Discord account. The .ics file works with Google Calendar, Apple Calendar and Outlook.
